This page provides information about how the University uses your personal data when you are a member of University Music. It supplements the page on the University website ‘Data Protection – How the University Uses Your Data’.

It is important that the personal information we hold about you is accurate and current. Please keep your personal information updated during your relationship with us.

What personal data will be processed?

  • Name

  • Membership number

  • Contact details

  • Instrument / voice type

  • Audition form (if relevant)


What is the purpose of the processing?

The University will process your personal data for the following purposes:

  • Ensuring effective communications with you (including information about up-coming concerts, and music-based events/projects co-ordinated by the University Music and Concerts Team).

  • Keeping financial records (e.g. payment of your membership fees, payment of project participation fees).

  • Maintaining a formal record of your activities with us.

  • Undertaking research into our activities.

  • Managing complaints made to us.

What is the legal basis of the processing?

We process your personal information based on consent, which you give at the point of becoming a member of the society or upon joining a University Music ensemble.

If we require additional consent for any additional use of your personal data, we will collect it at the appropriate time, explaining why we are collecting the data and how we will use it.

Who will your personal data be shared with?

Within the University, your data is shared with only those University staff and Music Society Committee members who need access for the purpose of managing the activities of University Music and delivery of its key objectives.

How long is your data kept?

We keep your personal information for one year from the date of your membership. Members of all University Music must sign a membership agreement form on an annual basis.

This also explains how to ask any questions you may have about how your personal data is used, exercise any of your rights or complain about the way your data is being handled.

Are changes made to this webpage?

This privacy notice is effective from 25th of May 2018. It is reviewed when necessary and at least annually. Any changes will be published here and you will be notified by email when appropriate.
